OVERVIEW & RESPONSIBILITIES
- Provide strong internal support to the Project Manager, Director of Operations, Sales & Marketing Manager, VP of Sales and other team members to keep the sales pipeline strong and moving, and ensure smooth project production that meets client expectations.
- Assistance to the Sales Team, including direct client contact in support of an exceptional client service experience.
- Set up opportunities and tasks in the project management software. Manage opportunities and projects as assigned.
- Problem-solve project and customer issues to bring a swift resolution while providing excellent customer service.
- Manage the project sampling queue and problem solve as needed. Set up and monitor sample requests to make sure they are completed efficiently. Work closely with production staff to ensure all samples are fulfilled accurately.
- Generate shipping quotes and project estimates. Assist staff with P&L exercises as needed.
- Create project invoices and process payments.
- Communicate with outside vendors as needed for outsourced project requirements.
- Assist with management of the HubSpot CRM: Maintain updated contact and account information in order to effectively communicate with various segments of clients, prospects, referral sources, and influencers.
- Contribute to the development and management of digital and physical sales material, from conception and production through fulfillment.
- Deliver on a brand promise to be highly responsive and provide rapid turnaround on inquiries and requests.
- Other tasks as assigned.
QUALIFICATIONS
- 5+ years of professional experience, preferably at least 2 years of project or creative services management experience.
- Highly organized and detail oriented.
- Strong analytical and problem solving skills.
- Excellent communication skills, both internally across departments and with external clients.Proactive in driving tasks and initiatives forward. Calm under pressure.
- Knowledge of CRM and project management software.
- Proficiency with QuickBooks Online or similar accounting software.
- Understanding of and affinity for art and design.
- Tech-savvy.
ADDITIONAL DESIRED QUALIFICATIONS
- Familiarity with architectural drawings.
- Basic skills in Adobe Creative Suite.
- Experience working with overseas vendors.
COMPENSATION
Competitive personalized package includes base salary of $47-57,000, health benefits, and equity.
